Event Prep - Site Boss

Mission: Assist the autocrat in site set-up and maintenance.

Tasks before Event:

Finalize site map with feedback from event officers.

Acquire site marking supplies: Caution tape (got TSC), twine, construction flags x 100 (got at TSC), marking paint (?), cardboard, paint, brushes, duct tape. (Fence posts).

Arrive on-site day before event to begin site set up.

Find useful items: shovels, fence posts, ladder, orange twine (Maintenance bldg?), bathroom supplies (in wooden cupboard in Inn kitchenette and gray plastic pantry in the green building), brooms (everywhere), tablecloths (in Inn kitchen?)

Set up work station with computer, printer, supplies

Caution areas:

archery range (flagged twine with danger signs), low beam over poultry barn pass-thru, trebuchet (15 feet clearance), swamp areas in campground.

Port-a-pots:

one along east fence, one on W side of beef barn for equestrian/quiet campers, no service needed.

Services used in the past: 

Parking:

Rows of flags perpendicular to west road spaced 65 -70 feet apart (aligned with light poles) for parking double rows of vehicles “nose to flags” including vehicles plus trailers.

Camping:

• Roads:
  • “Northshield Way” marked with flags parallel to Highway 14,
  • "Calontir Crossing" down west side of battlefield and east of V-ball court, 5 foot buffer zone
  • "Privy Run" along battlefield,
  • gravel “Midrealm Road” parallel east fence
  • (and an escape route for the Handicap/Royal Camping/Parking near the Inn “The Inn Outlet”. (Research ordering street signs)
• Quiet camping west of poultry building and stables.
• Handicap camping east of inn (with access road diagonally S of inn).
• Royal encampment behind royal presence on the 50 yard line or behind Privy Chamber.

Signage:

Troll Check-in, Feast, Inn, Youth, A&S Classes, A&S Display, Restrooms, Lords, Ladies, Fighter Shower, Archery, Danger, Battlefield, Quiet, Stable (access road signs)

Make sure Inn (10-13 tables), A&S (4-5 tables), Indoor Merchants (2-4 tables) and Youth/Bunkhouse buildings (2 tables) are getting set up.

Make sure Feast/Kitchen have what they need.

Schedules/site maps/area maps posted at Troll, port-a-pots, Inn, and A&S.

Restrooms: check supplies of toilet paper, paper towels, set up privacy screen and floor mat for Inn shower

Lights:

• Troll light always on,
• campground ambient light from SE green building (controlled at switch box between Caged/Pork bldg),
• parking area lights on (new large switch box at SW corner of poultry barn),
• merchant area lights off (switchbox on W side of merchant area).

Beautification: hang flag streamers on front flag poles, help with banner set-up, get more flags.

Tasks during the event:

• Monitor camp set-up for integrity of access roads especially Friday night and Saturday morning.
• Monitoring of parking (delegate if possible).
• Assist with camp set-up – shovels for fire-pits, CPAP plug-ins, site orientation.
• Maintain signs and caution markings.
• Check restrooms for cleanliness, soap, toilet paper and paper towels approx every 3 hours – heaviest use is in AM, mealtime, bedtime. (delegate if possible)
• Chem lights on port-a-pots every evening.

Tasks after the event:

• Undo everything done in site-setup.
• Check un-used rustic restrooms by Youth Bldg,
• Assist autocrat with final clearing of site (first to arrive, last to leave - or close to it).
